Canon Printer Offline? Get It Back Online

Seeing Canon printer offline on your computer doesn’t necessarily mean the printer itself is broken.

The printer may be switched off, asleep, disconnected from Wi-Fi, connected to a different network, stuck with an old print job, or incorrectly configured on the computer. On Windows, the printer can also be explicitly placed into an offline state.

The important distinction is whether the printer is actually unreachable or whether the computer is simply treating it as offline.

Use the diagnosis below before changing drivers or resetting the printer.

Why Does My Canon Printer Say Offline?

“Offline” can describe several different situations.

Sometimes the printer really isn’t available. It may be powered off or disconnected from the network.

Other times the printer is physically fine but the computer has lost the communication path to it. A network printer may have received a different IP address, for example, while an old printer entry on the computer still points to the previous address.

There is also a simpler Windows-specific possibility: the printer may have been placed into Use Printer Offline mode.

Canon’s documentation specifically notes that a printer set to “Use Printer Offline” will not print until it is returned to an online state.

That’s why simply restarting the printer isn’t always enough.

Fix 1: Make Sure the Canon Printer Is Powered On and Ready

Start with the obvious physical check.

Look at the printer rather than the computer.

Make sure:

  • The printer is powered on.
  • The power indicator is active.
  • It has finished starting up.
  • There isn’t an error message.
  • There isn’t a paper or cartridge warning preventing operation.

Some Canon printers can automatically turn themselves off after a period of inactivity. Canon documents this as one reason a computer may report that the printer is offline.

Turn the printer on and wait until it reaches its ready state.

Then try printing a small document.

If it immediately returns to Offline, continue with the next fix.

Fix 2: Check Whether Windows Has Put the Printer in Offline Mode

If you’re using Windows, check whether the printer has been manually placed in offline mode.

Open:

Settings → Bluetooth & devices → Printers & scanners → your Canon printer → Open print queue

Look for the printer’s current state.

Depending on your Windows version, the exact wording and layout can vary. If Windows has selected an offline mode, turn that off and return the printer to its normal online state.

Canon’s own documentation identifies Use Printer Offline as a direct reason a printer will not print.

Try printing again after changing the status.

If you don’t see an offline option

Don’t assume the printer is fine. Windows may simply be unable to communicate with it.

Continue with the connection checks below.

Fix 3: Restart the Printer and Computer Together

A restart can clear a temporary communication failure, especially if the printer has been sitting unused for a long period.

Do this in order:

  1. Cancel any active print job.
  2. Turn the Canon printer off.
  3. Shut down or restart the computer.
  4. Wait briefly.
  5. Turn the printer back on.
  6. Wait until it is ready.
  7. Try printing a simple document.

This is more useful than repeatedly clicking Print while the computer continues to show the printer as unavailable.

If the printer comes back online but later goes offline again, continue troubleshooting rather than treating the restart as the permanent solution.

Fix 4: Check the USB Connection

If your Canon printer is connected directly to the computer by USB, the problem may have nothing to do with Wi-Fi.

Disconnect and reconnect the USB cable firmly.

Then check whether Windows recognises the printer again.

If possible:

  • Try another USB port.
  • Connect the printer directly rather than through a USB hub.
  • Check the cable for damage.
  • Restart the printer after reconnecting it.

Canon identifies USB connection, USB port and communication problems as possible reasons that data does not reach a printer.

If the printer works when connected through another port or cable, you’ve identified the likely source of the offline status.

Fix 5: Check the Canon Printer’s Wi-Fi Connection

For wireless Canon printers, check the printer itself before changing anything on your computer.

Look for the printer’s Wi-Fi indicator or wireless status.

The key question is:

Is the printer actually connected to your current Wi-Fi network?

If it isn’t, the computer cannot reliably communicate with it.

Canon’s wireless troubleshooting guidance recommends checking the printer’s wireless status and confirming its connection to the access point or router.

If the printer has lost its wireless connection, reconnect it to your current network using the procedure for your specific model.

Fix 6: Check Whether Your Wi-Fi Network Changed

Think about what happened immediately before the printer went offline.

Did you:

  • Replace your router?
  • Change the Wi-Fi name?
  • Change the Wi-Fi password?
  • Switch internet providers?
  • Reset your router?
  • Create a new mesh network?

If yes, your Canon printer may still be configured for the old network.

A printer cannot remain available to your computer simply because the computer is connected to the new Wi-Fi.

Reconnect the printer to the current network.

After doing so, check whether the printer returns to an online state.

Fix 7: Clear the Print Queue

A printer can appear stuck or unavailable when one or more old jobs are blocking the queue.

Open your Canon printer’s queue and look for:

  • Documents stuck on “Printing”
  • Paused jobs
  • Failed jobs
  • Multiple duplicate jobs

Cancel the unnecessary jobs.

Then send one small test document.

Canon’s support documentation specifically recommends removing unnecessary print jobs when printing does not start.

Don’t send another ten documents while the first one is stuck. That usually makes the queue harder to diagnose.

Fix 8: Check Whether the Printer’s Network Address Has Changed

This is one of the more important checks when a Canon Wi-Fi printer was working previously and suddenly becomes unavailable.

A network printer can receive a different IP address after a router restart or other network event.

The printer may still show that it is connected to Wi-Fi, while the computer’s existing printer configuration is trying to reach its previous network address.

Canon’s network troubleshooting material identifies IP-address problems and DHCP-related address changes among potential causes of printing failures.

If your printer is connected but repeatedly appears unavailable, check its current network information and whether the computer’s printer configuration still points to the correct device.

For supported models, Canon’s Wi-Fi Connection Assistant can help diagnose certain communication and printer-port issues.

Fix 9: Remove Duplicate or Old Canon Printer Entries

This can happen after:

  • Reinstalling the printer
  • Changing from USB to Wi-Fi
  • Changing routers
  • Reinstalling Windows
  • Adding the printer more than once

You may end up with several entries that look similar.

For example, one entry may refer to an older installation while another represents the current connection.

Check the installed printers and identify which Canon entry corresponds to the printer you are actually using.

If an old duplicate is clearly no longer needed, removing it can make the correct printer easier to select.

Then make the current printer the one you use for printing.

Fix 10: Reinstall the Canon Printer Only After the Connection Checks

If the printer itself works but Windows consistently keeps showing the installation as offline, reinstalling the printer may be appropriate.

Before doing this:

  1. Clear the print queue.
  2. Remove the old or duplicate printer entry where appropriate.
  3. Restart the computer.
  4. Reconnect the printer using the intended USB or Wi-Fi method.
  5. Install the correct Canon software/driver for the exact model.

Don’t reinstall the printer simply because the word “Offline” appears.

If the actual problem is that the printer has lost Wi-Fi connectivity, reinstalling the Windows printer entry may only mask the underlying issue temporarily.

What If the Canon Printer Keeps Going Offline?

If the printer repeatedly goes offline after you restore it, look for the pattern.

Goes offline after the router restarts:
Investigate network/IP configuration.

Goes offline after the computer wakes from sleep:
Investigate the computer’s printer connection and driver behaviour.

Goes offline only over Wi-Fi:
Focus on the wireless connection rather than the printer hardware.

Goes offline over USB too:
Check the cable, USB port and printer software.

Printer shows an error at the same time:
Resolve the printer’s physical/model-specific error first.

This pattern is much more useful than repeatedly setting the printer back to Online.

How to Prevent Canon Printer Offline Problems

To reduce recurring offline problems:

  • Keep the printer connected to the intended Wi-Fi network.
  • Avoid creating multiple duplicate printer installations.
  • If you replace your router, reconnect the printer deliberately.
  • Keep the correct Canon printer selected as the default when appropriate.
  • Don’t leave failed print jobs sitting in the queue.
  • Use a direct USB connection when troubleshooting USB models.
  • Keep the printer software appropriate for your current computer and operating system.
  • If the printer repeatedly disappears from the network, investigate the network configuration rather than repeatedly reinstalling it.

Frequently Asked Questions

Why does my Canon printer say offline when it is turned on?

The printer being powered on doesn’t guarantee that the computer can communicate with it. Check Windows’ printer status, the print queue, and—if it is wireless—the printer’s Wi-Fi connection.

How do I get my Canon printer from offline to online?

First make sure the printer is powered on and ready. In Windows, check whether it has been placed in “Use Printer Offline” mode. If not, investigate the USB or Wi-Fi connection and clear any stuck print jobs.

Why does my Canon printer keep going offline?

Repeated offline status can point to a recurring connection problem. For Wi-Fi printers, check the wireless connection and network/IP configuration. For USB printers, check the cable and USB port.

Why is my Canon printer offline after changing my Wi-Fi password?

The printer may still have the old Wi-Fi credentials. Reconnect the printer to the current wireless network using the setup procedure for your model.

Why is my Canon printer connected to Wi-Fi but showing offline on my computer?

The printer can be connected to Wi-Fi while the computer is still unable to communicate with it. Check whether the computer and printer are on the expected network and whether the printer’s network address has changed.

Should I reinstall my Canon printer if it says offline?

Not necessarily. First check the printer’s actual network or USB connection, Windows’ offline setting and the print queue. Reinstallation is better treated as a later troubleshooting step.
